Lead follow-up automation

Respond to New Leads Without Chasing Every Notification.

A simple workflow that captures each website inquiry, tells you about it right away and lets the customer know their request arrived, so fewer leads go cold while you’re busy working.

  • Setup from $299
  • Optional monitoring from $49/month
  • Works with the email you already use
  • Consent-first messaging
Illustrative concept

Illustration of three automated messages: an instant email to the business owner about a new quote request, a confirmation email to the customer, and a new row added to a leads spreadsheet.

When it helps

Built for owners who can’t sit by the inbox.

Automation doesn’t replace you. It makes sure you know about every inquiry, and that every customer knows they were heard.

  • You’re on jobs all day

Get an alert the moment a request comes in, not when you finally check email tonight.

  • Evening & weekend inquiries

Customers get an instant confirmation, so they don’t keep shopping around.

  • More than one person replies

Send inquiries to a shared inbox so whoever is free can respond.

  • You want a simple record

Log each inquiry to a spreadsheet or CRM you already use.

Example flow

From website form to follow-up, step by step.

A typical setup. We scope the exact steps to your tools before anything is built.

  1. 1 Website form

    A customer sends a request

Your form collects only what you need to reply, plus their consent to be contacted.

  2. 2 Secure processing

    Checked and filtered

The request is validated, screened for spam, and processed on the server. Your API keys never appear in the website.

  3. 3 Business notification

    You’re notified instantly

An email with all the details arrives in your inbox (or a shared one), ready to reply.

Optional: also log each lead to a spreadsheet or CRM you already use.

  4. 4 Acknowledgement

    The customer hears back

A short confirmation tells them their request arrived and what happens next.

Example workflow. Each setup is scoped to the tools you already use.

What you’ll need

Clear prerequisites, no surprises.

  • A website form. We can build one, or adapt the form you already have.
  • A business email inbox. Where notifications should arrive. A shared inbox works too.
  • An email-sending service. We help you set one up. Some providers charge once you pass their free allowance.
  • Optional: a spreadsheet or CRM. If you want each inquiry logged automatically.
  • Consent wording. Clear wording on the form so customers know how you’ll contact them.

Possible integrations

Examples of tools a workflow can connect to. None are active until they’re scoped, set up with your own accounts and tested.

  • Email inboxes Any business inbox, including shared ones
  • Spreadsheets Such as Google Sheets
  • CRMs Many popular CRMs accept new leads
  • Automation platforms Webhooks to tools you already use
  • Text messages Via an SMS provider, with consent and per-message fees

Product names belong to their owners. Listing them doesn’t imply a partnership.

Pricing

A one-time setup, with optional monitoring.

Every workflow is quoted for your tools before setup. Third-party usage fees are billed by those providers, not bundled into our price.

One-time setup

From $299

  • Lead capture from your website form
  • Instant owner notification by email (other channels quoted separately)
  • An acknowledgement message to the person who inquired
  • Optional logging to a spreadsheet or CRM you already use
  • Testing before handover and a short walkthrough

Optional monthly

From $49 /month

Optional monthly checks that your workflow is still delivering and acknowledging inquiries.

Not included

  • Email, SMS, CRM or API usage fees charged by third-party providers
  • Text or email marketing to people who have not given consent
  • Complex multi-step sales funnels (quoted separately)

Privacy, consent and a human in the loop.

  • Only what’s needed. Forms ask for the details required to reply, and nothing sensitive.
  • Consent first. Customers know how you’ll contact them. Text messages are only set up where customers have agreed to receive them and can opt out.
  • Keys stay private. Provider credentials live on the server, never in your website’s code.
  • You make the decisions. Automation confirms receipt; quotes and real replies come from you.

FAQ

Automation questions

Straight answers before you commit to anything.

Do I need special software?

Usually not. Most setups use the email you already have, plus a spreadsheet or CRM if you use one. We recommend tools only when they genuinely help, and we explain any costs first.

Can it send text messages?

It can be set up with a text-messaging provider, but texts carry per-message fees from that provider and require the customer’s consent. We only set up messaging that respects consent and opt-out requirements.

Will automation reply to customers for me?

It sends a short acknowledgment so the customer knows their request arrived and what happens next. The real conversation still comes from you. Automation buys you time; it does not replace a human reply.

What does the $49/month monitoring include?

Regular checks that your form still delivers, notifications still arrive and connected tools are still authorized. If something stops working, we let you know and fix what is within scope.

What will it cost to run?

Setup starts at $299. Third-party services such as an email-sending service, a text-messaging provider or a CRM plan bill you directly, and we list those in your quote.

How is customer information protected?

We collect only what the workflow needs, keep API keys on the server rather than in the website, and use reputable providers. You stay in control of your customer data, and your privacy policy should explain how you use it.
